1. Introduction and acceptance of terms
These Terms of Service ("Terms") govern your use of the services provided by Clearmind ("we", "us", "our"), a private healthcare provider specialising in ADHD diagnostic assessments. Our registered address is 124 City Road, London, EC1V 2NX.
By booking an appointment, using our website, or engaging with any of our services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you should not use our services.
These Terms should be read alongside our Privacy Policy and Complaints Procedure, which also apply to your use of our services.
2. About our services
Clearmind provides private ADHD diagnostic assessment services for adults. Our services include:
- Comprehensive ADHD diagnostic assessments conducted via secure video call by GMC-registered consultant psychiatrists.
- Medication titration for patients who receive a diagnosis of ADHD and for whom medication is clinically appropriate.
- Follow-up appointments to review progress, adjust treatment plans, and provide ongoing clinical support.
- Detailed diagnostic reports provided to you and, with your consent, to your registered GP.
We are registered with the Care Quality Commission (CQC) and adhere to the standards and regulations set out by the CQC for independent healthcare providers.
Clinical scope and limitations: Our service focuses exclusively on the assessment and management of Attention Deficit Hyperactivity Disorder (ADHD). We do not provide assessments or treatment for other mental health conditions, although our clinicians may identify co-existing conditions during the assessment process and recommend onward referral where appropriate.
Our service is not a substitute for emergency or urgent mental health care. If you are experiencing a mental health crisis, are at risk of harm to yourself or others, or require urgent medical attention, you should contact NHS 111, call 999, or attend your nearest Accident & Emergency department immediately.
3. Eligibility
To use our services, you must:
- Be aged 18 years or over at the time of booking.
- Be primarily resident in England. We may be able to accept patients resident in other parts of the United Kingdom on a case-by-case basis; please contact us at hello@clearmind-adhd.co.uk to discuss.
- Have a registered GP practice in the United Kingdom. This is a clinical requirement as we may need to communicate with your GP regarding your assessment outcome, medication management, and shared care arrangements.
- Have the mental capacity to consent to the assessment and any proposed treatment.
By booking an assessment, you confirm that you meet all of the above eligibility criteria. We reserve the right to decline to provide services if these criteria are not met.
4. Booking and appointments
How to book: Appointments can be booked through our website, by email at hello@clearmind-adhd.co.uk, or by telephone. All bookings are subject to availability.
Confirmation: Once your booking is received and payment has been processed, you will receive a confirmation email containing the date, time, and video call link for your appointment. Your booking is not confirmed until you receive this confirmation email.
What to prepare: Before your assessment, we will ask you to complete pre-assessment questionnaires and provide relevant background information. You should also:
- Ensure you have a quiet, private space for the duration of the video call.
- Have a stable internet connection and a device with a working camera and microphone.
- Have your GP practice details to hand.
- If possible, arrange for a family member, partner, or someone who knew you in childhood to be available to provide collateral information (this can be done separately if needed).
- Gather any previous medical records, school reports, or other documentation that may be relevant to the assessment.
Appointment duration: ADHD diagnostic assessments typically last between 60 and 90 minutes. Follow-up appointments are typically 30 minutes.
5. Fees and payment
Our current fees are as follows:
- Comprehensive ADHD diagnostic assessment: £595
- Medication titration: from £200 (the exact fee will depend on the complexity and duration of the titration process)
- Follow-up appointment: £150
All fees are quoted inclusive of any applicable taxes. Our medical services are exempt from VAT under the Value Added Tax Act 1994, Schedule 9, Group 7 (health and welfare).
When payment is due: Payment for your initial ADHD diagnostic assessment is due in full at the time of booking unless a payment plan has been agreed (see section 6). Payment for medication titration and follow-up appointments is due prior to the appointment taking place.
Payment methods: We accept payment by debit card, credit card, and bank transfer. All payments are processed securely.
We reserve the right to amend our fees at any time. Any fee changes will not affect bookings that have already been confirmed and paid for. Current fees are always displayed on our website.
6. Payment plans
We understand that the cost of a private assessment can be significant. We may offer payment plans on a case-by-case basis to help spread the cost of your assessment. If you would like to discuss a payment plan, please contact us at hello@clearmind-adhd.co.uk before booking.
Payment plan terms:
- Payment plans must be agreed in writing before your appointment date.
- A minimum deposit will be required at the time of booking to secure your appointment.
- The remaining balance must be paid in full before your assessment takes place, unless otherwise agreed in writing.
- Failure to make payments in accordance with the agreed plan may result in your appointment being postponed or cancelled.
- Payment plans are interest-free.
7. Cancellation and refund policy
We understand that circumstances can change. Our cancellation and refund policy is as follows:
Cancellation by you:
- More than 48 hours before your appointment: You may cancel or reschedule free of charge. If you choose to cancel rather than reschedule, a full refund will be issued.
- Less than 48 hours before your appointment: A cancellation fee of 50% of the appointment fee may be charged. You may reschedule to an alternative date subject to availability, though the cancellation fee may still apply.
- Non-attendance (no-show): If you fail to attend your appointment without prior notice, no refund will be given and the full fee will be retained.
Cancellation by us:
In the unlikely event that we need to cancel your appointment (for example, due to clinician illness or unforeseen circumstances), we will offer you an alternative appointment at the earliest available date or a full refund at your choice.
Refund process:
Refunds will be processed to the original payment method within 14 working days of the cancellation being confirmed.
Diagnostic outcome:
Please note that no refund will be given based on the outcome of your assessment. The fee covers the clinical time, expertise, and reporting involved in the assessment process, regardless of whether a diagnosis of ADHD is made.
8. The assessment process
Our ADHD diagnostic assessments are conducted by GMC-registered consultant psychiatrists with expertise in ADHD. The assessment process typically involves:
- Review of pre-assessment questionnaires and any supporting documentation you have provided.
- A comprehensive clinical interview lasting 60 to 90 minutes, conducted via secure video call. This will cover your current symptoms, developmental history, educational and occupational history, medical history, and the impact of symptoms on your daily functioning.
- Consideration of collateral information from a family member, partner, or other informant where available.
- Application of recognised diagnostic criteria (DSM-5 and/or ICD-11) in line with NICE guidelines.
- Discussion of the assessment outcome, including any diagnosis, recommendations for treatment, and next steps.
Diagnostic report: Following your assessment, a detailed diagnostic report will be prepared and sent to you within 14 working days. The report will include the clinical findings, the diagnostic outcome, and recommendations for ongoing management and treatment.
9. Clinical responsibilities and limitations
All clinical decisions are made by the assessing consultant psychiatrist based on their professional judgement, the information available to them, and in accordance with current best practice guidelines, including those published by the National Institute for Health and Care Excellence (NICE).
Diagnosis is not guaranteed. An ADHD assessment is a clinical evaluation, and the outcome depends on the clinical evidence gathered during the assessment process. Not every individual who is assessed will receive a diagnosis of ADHD. The assessment fee is the same regardless of the diagnostic outcome.
If you disagree with the outcome of your assessment, you are entitled to seek a second opinion from another qualified clinician. We can provide guidance on how to do this upon request. A second opinion may be subject to additional fees.
Our clinicians are bound by their professional duties and codes of conduct as set out by the General Medical Council (GMC) and the Royal College of Psychiatrists. They have a duty to act in your best clinical interests at all times.
10. Your responsibilities
By using our services, you agree to:
- Provide accurate and complete information: You must provide truthful and accurate information about your symptoms, medical history, medication use, and any other relevant matters. Providing misleading or false information may affect the accuracy of your assessment and could compromise your clinical care.
- Attend appointments: You should attend your booked appointments on time. If you are unable to attend, you must notify us as soon as possible in accordance with our cancellation policy (see section 7).
- Inform us of changes: You must inform us of any changes to your health, medication, or personal circumstances that may be relevant to your assessment or ongoing care.
- Follow medication guidance: If you are prescribed medication, you must follow the prescribing clinician's instructions and attend all required titration and monitoring appointments. You should not adjust your medication dosage without clinical guidance.
- Engage with your GP: You should keep your GP informed about your private ADHD assessment and any treatment you receive through our service. Co-operation with your GP is essential for safe and effective ongoing care.
- Behave respectfully: We expect all patients to treat our clinicians and staff with courtesy and respect. We reserve the right to discontinue services to any individual who behaves in an abusive, threatening, or inappropriate manner.
11. Medication and prescribing
If you receive a diagnosis of ADHD and medication is considered clinically appropriate, our consultant psychiatrist may recommend and initiate medication treatment.
Private prescriptions:
Prescriptions issued by our clinicians are private prescriptions. You will need to have these dispensed at a pharmacy, and the cost of the medication is your responsibility. Private prescription medication costs are separate from our consultation and titration fees.
Medication titration:
Medication titration is the process of carefully adjusting your medication dosage to find the optimal dose that provides the best symptom relief with the fewest side effects. This process requires regular follow-up appointments and may take several weeks or months. You must attend all titration appointments and report any side effects promptly.
Shared care arrangements:
Once your medication is stabilised, we will write to your GP requesting a shared care arrangement. Under shared care, your GP takes over the routine prescribing and monitoring of your ADHD medication, with ongoing specialist oversight from our service as needed.
Please note that the decision to accept or decline a shared care arrangement rests entirely with your GP. Clearmind is not responsible for your GP's decision to accept or refuse shared care. If your GP declines shared care, you may continue to receive private prescriptions from our service, subject to ongoing consultation fees.
12. Reports and medical records
What the report includes:
Your diagnostic report will include a summary of the assessment, the clinical findings, the diagnostic outcome (whether ADHD is diagnosed or not), any co-existing conditions identified, and recommendations for treatment and ongoing management.
Sharing your report:
With your written consent, we will share your diagnostic report with your registered GP. We will not share your report with any other third party without your explicit consent, unless we are required to do so by law or in circumstances where there is a serious risk to your safety or the safety of others.
Your rights:
You have the right to request a copy of your medical records held by us at any time, in accordance with your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Requests should be made in writing to hello@clearmind-adhd.co.uk. We will respond to such requests within one calendar month.
13. Complaints procedure
We are committed to providing a high standard of care and service. If you are unhappy with any aspect of the service you have received, we encourage you to raise your concerns with us so that we can resolve them.
Internal complaints process:
- In the first instance, please contact us at hello@clearmind-adhd.co.uk with details of your complaint. We will acknowledge your complaint within 3 working days.
- We will investigate your complaint thoroughly and aim to provide a full written response within 20 working days. If the investigation requires more time, we will keep you informed of progress.
- If you are not satisfied with the outcome of our internal investigation, you may request an internal review by a senior member of the team.
External escalation:
If you remain dissatisfied after our internal process, you have the right to escalate your complaint to:
- The Care Quality Commission (CQC) — the independent regulator of health and social care in England. Website: www.cqc.org.uk
- The General Medical Council (GMC) — if your complaint relates to the conduct or competence of an individual doctor. Website: www.gmc-uk.org

14. Intellectual property
All content on our website, including but not limited to text, images, graphics, logos, icons, and software, is the property of Clearmind or its content suppliers and is protected by United Kingdom and international copyright, trademark, and other intellectual property laws.
You may not reproduce, distribute, modify, create derivative works from, publicly display, or otherwise use any of our content without our prior written consent, except for your own personal, non-commercial use.
Your diagnostic report and medical records are provided for your personal use. You may share them with healthcare professionals involved in your care. You may not publish, distribute, or use them for any commercial purpose.
15. Limitation of liability
To the fullest extent permitted by law, the total liability of Clearmind to you in connection with the services provided under these Terms shall be limited to the total fees paid by you for the specific service giving rise to the claim.
Clearmind shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of income, loss of opportunity, emotional distress, or any other losses arising from or in connection with our services, howsoever caused.
Nothing in these Terms shall limit or exclude our liability for:
- Death or personal injury caused by our negligence or the negligence of our employees, agents, or subcontractors.
- Fraud or fraudulent misrepresentation.
- Any liability which cannot be limited or excluded by applicable law.
We maintain appropriate professional indemnity insurance in respect of the clinical services we provide.
16. Governing law
These Terms, and any dispute or claim arising out of or in connection with them or their subject matter or formation (including non-contractual disputes or claims), shall be governed by and construed in accordance with the laws of England and Wales.
The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms.
17. Entire agreement
These Terms, together with our Privacy Policy and Complaints Procedure, constitute the entire agreement between you and Clearmind in relation to your use of our services and supersede all prior agreements, representations, and understandings, whether written or oral.
18. Changes to these terms
We reserve the right to amend these Terms at any time. Where we make material changes, we will provide reasonable notice by updating the "Last updated" date at the top of this page and, where appropriate, notifying you by email.
Any changes will apply to bookings made after the date on which the updated Terms are published. Changes will not apply retrospectively to appointments already confirmed and paid for, unless required by law.
Your continued use of our services after any changes to these Terms constitutes your acceptance of the revised Terms.
